Q: How do I send data files?
A: Please refer to
graphic #3
. If you have Vista, however, please be aware that there is a
security feature that will send empty files from C: Program Files folders.
You must first move the database to another location such as the desktop.
Then compress and send.

Q: I am using TS Solo 2005 and have
a problem with something that has supposedly worked in the past. When running
Student Bill to email an outlook message "...program is trying to access your
address book..." I have clicked it a bunch of times and nothing is showing up in
the "sent" items. What do I do to get e-bills sent.
A: This is a security feature in Outlook has been out
for a couple of years. You can't turn it off unless the security patch is
uninstalled. There is a third party program called ClickYes that will handle
it. It is intrusive and easy to turn off/on.
http://www.contextmagic.com/express-clickyes
We neither endorse or support it. It has been used
successfully by more complicated software programs without adverse impact,
however.
Outlook Express does not give this message to our knowledge. You
could try changing the default email settings for e-bills.
Attention:
If you are experiencing an
error message of 3351 when working in the Studio Schedule Window,
changing view of the Scheduled Lessons to either Scheduled & Blocked
or just Blocked, please request a patch to correct this. Send
request to
timesig@casamusica.com.
In addition, if the view of
the Student Profile report is jumbled up, we have a patch for that
also.
Sorry for any inconvenience.
Q: When will Time$ig for Mac/Apple be
available?
A: With the release of the Apple Intel
computer there is no need to convert or develop Time$ig for Mac. The
marriage of the two systems (PC & MAC) is available; Time$ig will run on
that platform.
Q: I just got a new PC with MS Works on
it. I am unable to export to the word processor without losing the format.
A: Time$ig requires MS Office to export
successfully.
November 2005
Q: Sometimes when viewing the Studio
Schedule Window, there are events/lessons that are "hiding" at the top of the
list. Why is this?
A: The hiding issue is related to it
trying to keep track of what record it is on. When it reselected, it tries
to put the record you were on, on the first line of the schedule. Any
records prior to that would show up 'above' the heading.
Q: Where do you write Progress Notes? Progress
Notes are recorded in the Studio Schedule, Lesson.
A: Please see
graphic #2 .
Q: I am having problems with the display
of the dates in Time$ig.
A; There may be a display issue on the Studio
Schedule Screen that is easily corrected by opening the Control Panel, Regions &
Languages. Edit the date format to read mm/dd/yyyyy.
Please see
graphic #1.
August 2005
There should be no conversion necessary between TimeSig 2000 and TimeSig
2005. Running dbfix.exe on the TS 2000 database should cleanup any discrepancies,
however.
March 2005
Q. Can this Time$ig 2005 be password protected?
A. This could possibly be handled if by
network security if only certain people have access to the .exe and the
database. Time$ig itself does not have anything built in.
Q. Can someone be named the
"administrator" allowing only that person to make changes to certain
data?
A.
There is nothing built in T$5 for security for certain data
Q. If we have this program installed on various computers on the network
here at the school, the information automatically updated on all computers,
correct? In other words, we are not just installing solo versions on several
different computers if buy the unlimited use license?
A. - Yes, as long as the database is on
a network, and all of the instances point to the same database.
There could be issues with locking/overwriting if people are using it at the
same time. This would be
handled by access. Since everything is saved as you go, it should not be a
big issue.
Q. Is there a place inT$5 to keep track of purchases we make?
(similar to what the typical teacher would use to keep track of tax exempt
expenses)
A. You
could export data to Access. I believe Excel can import from Access. They would
have to have the know-how to do it.
The
best way to track studio expenses, however, is to run a simultaneous database in
TimeSig 2005 for just that specific purpose.
Q. Can the information in T$5 be exported to excel?
A. Yes.
Q. Can information stored either in excel or in QuickBooks be imported to
this program?
A. No. Data in T$5 can be exported
only.
June 14, 2004:
Q. I live in Australia. We have 3
digit state codes, not 2 as in the United States. Do you have a TimeSig
version for us?
A. Yes, of course. Please specify the
request on your order.
Q. I have several teachers in our studio. Daily
schedules print just fine; however, one teacher does not run. Her name is
Dell'Italia. Why will the remainder of my teachers
print and not this one?
A. The problem has to do with the
apostrophe. For right now, do not use the apostrophe in her
name. Just use a space. That corrects the problem. The
report section should work for that teacher now. The same problem occurs in
group names. So, until the next version, do not use apostrophe's when
naming groups.
Q. If I'm scheduling students to
be part of a group class, do I have to get every student
added to the group before I "schedule" the class? I was adding people
little by little and scheduling them to the group class as I went. Don't
know if this goofs things up.
A: It will be BEST if you assign ALL of the students to
the group BEFORE scheduling. TimeSig at this point does not allow for
later comers or stragglers into a class. That would have to be done
manually, assign charges manually, and schedule manually. The other problem
with doing it that way is that TS will not double book a teacher/room
situation so the later comer is treated as somebody trying to barge in and
will not allow it. You cannot override this.
TS will not reschedule the entire group with new entries...........it
will show only the original group, make charges to the ORIGINAL group and
schedule the ORIGINAL group.
Q: We got an Archive (as before, many
times), but never do we get a purge. Instead, the
3138 error persists.
A: Run the NewDBFix.exe on thee database; then the archive was
run and it worked. Make sure that when you
run DBFix, you select the database that you are trying to
archive. Maybe you would want to move any old backups out of the directory,
leaving only the one you want to archive to prevent confusion.
Make sure you are running the file release of October 2001
TIMESIG2000.exe.
If you go back and copy an old archive, the DBFix would have to be
run again. Make sure the database you are
archiving is the same one the DBFix ran on.
Q:
I downloaded the new TimeSig files.
I
backed up the database.
I
ran DBFix on the database.
I
backed up the database again.
I
moved the new TimeSig.exe file into the program directory to replace the
old version. (renaming the old version -- just in case.)
I
did not run Archive/Purge. As far as I know we do not yet need to do
that? Or was that a necessary part of the install?
I
tested that the new version was running correctly by loading it and
running a weeks worth of daily schedules.
Anything
else I should have done?
A: No,
you have done everything correctly.
The Archive/Purge function is NOT part of the
install.
You do not need to perform this function on
your database unless you want to end a term and begin a new one and want to
retire data pertaining to that term.
Q: I see a new file listed in the
TimeSig folder. It is called TSTab.mdb.old. What
is this and where did it come from?
A: The .old file gets created
by the DBFix.exe function. It is basically a backup file, in case
anything goes wrong. It can be deleted at any point, as soon as you are
comfortable with the results of the purge/archive.
Q: Why won't the reporting section
of TimeSig 2000 work?
A: Perhaps you need a new installation. Any
old .dll's?
Q: Why won't the database files purge correctly?
A: The files will not purge because DBFix was not run. You must first run
that, then do the archive/purge function.
Q: There are some extensions listed in the database
files that I don't recognize: they are TSTab.ldb, TSTab.mdb.old.
What are they? What should I do with them?
A: The .ldb files are created after the .mdb is used. It is a
Q: It is the beginning of a new
term. How to I delete students that have left the studio?
A: To make a
student "Inactive" and still retain the file for later use, just
uncheck the "Active" box on the Student Profile. This
will filter the student into the Inactive list. To access
all inactive students, check "ALL" on the choice for the
students.
To completely DELETE a student, there
must be no links to records. That means, all scheduled lessons,
transactions, groups, and events must be cleared for that
student. TimeSig will hang on to students that still have ties to your
studio. After unlinking any records that the student has, just right
click, and select delete.
In making the decision as to whether or not you
should delete the student records or just retire the records, perhaps ask
yourself this: will there be any reason to review past history on this
student, either for payments, charges, or a letter of transfer? If the
answer is NO to all of these, perhaps you should just clear the record from
TimeSig. Otherwise, just list the student as INACTIVE.
Q:
Is there any
way that I can put a given student's performance selections from previous
years in the data base somewhere, even though contests or festivals
may have occurred as much as 6 years ago?
A:
Try
this: Set
up an Event. Identify the Event as
something you will remember. Enter the date even if it precedes the
term date, repertoire, date of performance, no
cost associated with it. Otherwise you may get an unwanted charge on the
statement.
The the repertoire data will be the same as if recorded it a long time
ago.
Doesn’t
matter if Event is Active or Inactive.
Save
it. You can even schedule it.
Run Student Event Report --- there it is!
That
is a good way to keep the historical records.
Q: I have
been trying to use the users manual to get help with TimeSig
2000. However, there are no graphics.
A: Please
use the online Help section or the Help section included within TimeSig.
This is the most comprehensive Help section. Follow the little notes. This will guide you through
the entire setup. You can access the Help section on your computer
from TimeSig by pressing F1 or by selecting Help, then Content.
Q: When I
click on Contents in the Help section of TimeSig 2000, I get
a response that says the files aren't there? Where are they?
A: Make sure
you have at least one window open. Then select Help, then Contents.
F1 also accesses this section as this is a standard Windows command.
Q: How do
I install TimeSig 2000 to my computer?
A: Open Windows
Explorer. Select your CD drive. Double click. You will see a
list of options, one of which is "setup.exe." Double
click on this option to install.
Q: Are DURATION
and LENGTH OF LESSON the same thing?
A: Yes. These
two terms are used interchangeably.
Q: Do I need Access to run TimeSig?
A: No.
Q: My tab
key function / malfunction ? What do I do?
A: t is not
related to TimeSig, Somehow the TAB and
ALT-TAB
get their signals crossed. I am not sure what causes it, but
I suspect it is
a memory thing. Re-boot. When Windows comes back up, it works
normally. Perhaps the Windows ME version has corrected this.
Q: How does
one bill by the month and not set up tuition lessons?
Monthly
billing (by week) -
-
Setup lesson
plans in the Student Profile with a 'manual' payment option.
-
To bill
for the month, select this function from the reporting section
of TimeSig 2000.
-
Select
the month, and select all (or individual student) and press bill.
All selected lessons will be billed. (Only lessons for the month
should be displayed, so only that month should be billed).
Q: Will there
ever be a function to add messages to each bill?
A: The developers
are currently working on it to be released in the next upgrade.
Stay tuned. Currently, if you want to add a memo to all
students on the statements, export statements into Word or similar
program. Add your memo there; cut/paste into each statement.
Q: Why do
I have to set up states when there are all of them listed?
A: TimeSig
2000 is for International use. Users living outside the United
States will have to enter the correct data for their situation.
Q: Why do
I have to setup lesson duration times when they too are all listed?
A: This section
in the initial setup includes MOST times used by teachers for
lessons. There are some, however, that are not listed. Check
to make sure that yours is listed; otherwise, add it.
Q: I made
a mistake when entering the lesson plan in the Student Profile.
I even scheduled it! TimeSig 2000 will not allow me to edit this.
How do I correct this?
A: Yes, TimeSig
2000 will not allow you to delete the Lesson Plan once it is
made. If you have made an error, delete all the scheduled lessons
for that student in the schedule screen by highlighting the lesson(s)
you wish to delete, right click, and select the "delete"
option. You may "close" the lesson plan by selecting
that option. This will deactivate it.
Return to
the Student Profile and enter a new Lesson Plan correctly.
Q: When I
backed up data for Summer 2000, I did not put the extension ".mdb"
in the file name. Now I cannot get it to open! Help.
A: Simply
rename the file with an extension name of ".mdb" Open
the file into TimeSig 2000 by choosing File, then Open Database.
Remember that mdb stands for "Microsoft Data Base."
All TimeSig files are stored in this manner.
Q: Is there
a way to print the Student Profile on a single page?
A: Currently, no. Your requests have been heard. We
need to generate another "report" for this.
Q: Is there
a way to record performances and repertoire on the new TimeSig?
A: This is
done concurrently when you schedule those Events in which the
student performs. Please see "Events" in the Help section.
Q: TS is still
showing a 7 month billing for the monthly option.
A: You must have an early version of TimeSig 2000. . Please request the update.
Q: Is there
a way to bill quarterly, 2X or 1X a year?
A: Yes, on the Lesson Plan you can bill One Time, Monthly, Quarterly,
Manually. So take your pick. Just tell it how many payments you want
and TimeSig does it for you.
Q: I'm just
going to keep adding my group lessons to the schedule. Is there a place where you can indicate the number of lessons in
the term?
A: You may specify in the Group Plan how many sessions you want,
the cost of the entire Group, and then assign students to the
group.
Q: Is the
# of lessons in the group lesson schedule just for group lessons or is it for the whole term?
A: Actually, it will be every week until the number of sessions
is allocated. That may end before the term does. For instance,
if you have a 10 week Group beginning in September, it obviously
will end before May 2001.
Q: I am using AOL. I have
problems accessing TimeSig web site directly from the TimeSig
program.
From one of our users, here is a suggestion for the
AOL users:
A: AOL users
might have better luck accessing the TIMESIG website by
logging on to AOL, minimizing
the AOL browser, and opening NETSCAPE or
INTERNET EXPLORER
4.5 or greater, and using that new browser session to
access TIMESIG 2000 site.
Q: Could we have a way to track other studio expenses, like our
tax exemptions, music we buy to use in the studio, office supplies
for our studio, etc?
A: Studio
accounts can be kept on a separate data base! Yes, right in TimeSig.
Here's how you do it: make a backup copy of your current data
set with the students. Give the file a name like Fall2000. Then
move that data base to another folder using Windows Explorer.
It might be a good idea to create a new folder, such as TimeSig
Databases. Store all your databases in it. Now, that the data
is saved (be absolutely positive!!) do a reset function in the
"Backup" feature. This will delete EVERYTHING from
the TimeSig. In fact, if you have moved the student database,
it maybe empty anyhow. Check and see. Then go ahead and set up
your studio like before, students can be vendors like a music
store, set up transaction types in your studio to accommodate
what your needs. Services like your piano tuner could be set
up as a "Teacher" with a "rate"---- whenever
piano is tuned just schedule it and the charge will be applied.
When you pay the bill, enter that as a Pay transaction, putting
check number etc.
Q: How do I make a "Waiting List?
A: Enter
data in TimeSig as Students -- INACTIVE---do not check the "Active"
box. Then you won't have to deal with them on a daily basis.
You might consider starting their last names with something like:
W-Jones, Sally. ( W=Waiting.) The retired student files that
are inactive could be identified with R-Jones, Sally. K (R =
Retired.)
