Tuition

 

TimeSig 2000 calculates the charges or tuition based on the teacher's hourly billing rate, the duration of the lesson, and the number of lessons the student is to receive. Tuition is the preferred system in accounting and for you the user, makes a more professional statement.

Note: Do not try to make a lesson plan for the student before entering the subject information. Subjects must be setup first.

 

To make the actual Lesson Plan for the entire year:   Assign the teacher, room, and subject(s). If a teacher is assigned but does not teach that subject, there will be a warning. Users need to check the Studio Description. Check the teacher/subject list.

The beginning/end dates are also set; they should correspond to time within the term dates of the studio. You can select to bill the payers of the account one time, monthly, or quarterly, whichever is the policy of the studio. If you select monthly, a pop up box appears for the user to tell TS5 just how many payments are needed.

Note: It is possible to make the assignments without scheduling.

Note:  Before you schedule anything, be sure the CLOSED dates are entered for the entire term.  This will prevent double booking or scheduling when the studio is not open.

Otherwise, lessons will be scheduled over the holidays and conventions.

Monthly billing (by the week or per lesson) 


Setup lesson plans with a 'manual' payment option and a zero charge.  When you are ready to bill for the month, select month, and select all (or individual student) and press bill. All selected lessons will be "billed." (Only lessons for the month should be displayed, so only that month should be billed).  

 

Some studios which to do a type of monthly billing that goes as follows: if September has 4 weeks of lessons, the payer will be billed for 4 lessons September 1. If October has 3 lessons, bill for 3 lessons October 1. This type of accounting makes the system cumbersome, requiring data entry every billing cycle. However, this can be handled by setting up Transaction Types in the Studio Description to accommodate 3 lessons, 4 lessons, 5 lessons, etc. This method would then have the teacher hourly rate set at zero; no calculations would be involved. Discounts for early payment, penalties for late payments etc. are also set up in the same section.

 

If you bill by the lesson, set up transactions with appropriate amount:

  • one lesson, cost $____

  • two lessons, cost $____

  • three lessons, cost $____ and so forth

Do this in the Studio Description, Transaction Types.

 

Note: For optimum performance, consider using the tuition calculations. This is the most efficient way for TS5 to handle your studio fees.

Complete the last step of the Student Profile by going to comments.

 

Whenever lesson plan is deleted, TS5 removes unused lessons from the schedule; however, it does not remove charges.   Charges are deleted manually.
